Q: What are your data requirements?
If you are posting a file that we will use
directly on our imaging equipment (without us doing any data processing)
the maximum record size is 2 million names.
FTP Transfer

- ASCII with fixed length fields (no floating fields)
- Fixed record length
- After each record a carriage return (CR) and Line Feed (LF)
- File Name and record size
- Record layout and dump REQUIRED. Complete with number of termination
characters in CRLF
- Please specify which fields (if not all) of the data will be used in
the personalization.
- Maximum field length is 40 characters, unless using a smaller font
- Bundle, tags and pallet numbers in a separate field

In an effort to process your mail more
efficiently, we are requesting that you please send Mail.Dat Files
instead of the normal hardcopy printouts. Now that the South Suburban
Detached Mail Unit can now view the reports on-screen we can eliminate
some of the paper trail. We do have the capability to print Tray/Bag
Tags and Pallet Placards but would still prefer you to supply them to
us, unless there is an emergency or time sensitive issue.
You can supply the Mail.Dat Files in Zip format in one of the following
three ways:
1. E-mail the Mail.dat file in Zip format to your Customer Service Rep
2. Post the files to our FTP site. (For assistance on posting files to
our FTP Site please contact Judy Brown @

3. On a Zip Disk or CD Rom.
All of the Mail.Dat Files will be saved on our network and will be
archived and disposed of according to USPS guidelines.

Please Note: All jobs for automated letters need to be presented as
Mail.Dat 02-1 or 02-2 formatted files. We would also like for all files
to be “Single Segment File.”
Additional Guidelines:
- In addition to our standard prerequisites, please supply us with an
"END OF BUNDLE MARK" preferably # sign at the end of each bundle. This
mark needs to be in a separate fixed field. (This may or may not be
printed on the piece in accordance with the clients' requirements and/or
preferences.)
- If you choose to use an asterisk "*" instead of a pound sign we would
prefer that you use two asterisks sort marks.
- These sort marks must be in a 10 point minimum size font.
- Bundle, tags and pallet numbers in a separate field.
- Barcodes completely built with ZIP, ZIP+4 and delivery point in a
separate field.
- The zip + 4 requires the dash unless 100% barcoded mailing, Please
specify which fields (if not all) of the data will be used in the
personalization.
